this is a topic of great public interest...we're not taking one side or the other.

FROM AN ANONYMOUS SOURCE

Here is an email thread of the Elementary Alliance kicking the McGlynn Middle School PTO out of the Wizards game because we wouldn’t delete a save the date.

Incoming school committee member Jenny Graham is on the thread and agrees.

Bailey was one of Jenny’s campaign managers as was Kristy Avino who also finds herself on the school transition team with Jenny.

We will be moving forward in order to preserve the success of the event and will remove the McGlynn Middle representatives from this planning email as it no longer applies to them. It is unfortunate that the McGlynn Middle representatives are not able to collaborate on the terms originally agreed to by the six schools.  We will proceed accordingly.

Thanks
Bailey

Hello,

I am confused by this aggression. The capital offense here that has emboldened what is supposed to be a collaboration to threaten to expel my school from the Wizards game is a save the date on Facebook. This is a collaboration and I will not yield to threats. We are involved in this project. We will continue to be.

Having chaired this event last year and suffering from lack of support because other members were too focused on the Disney raffle, I indicated last December, last Spring and in September that we needed to start working on this project earlier. I agreed at all points to again chair the event since the Alliance was focused on several other fundraisers and this is the only large one for the middle schools (for context, the supplement the elementary PTOs will get from the Alliance is equal to or greater than a middle school PTO will earn for the entire year).

Last year I had secured a hotel sponsor before the date of your first potential meeting this year (you need double the rooms this year - while paying for the rooms is a drop in the Disney raffle money bucket, the middle schools don’t get a piece of that. Since this project is delayed because of your focus on a bigger money maker in the Disney raffle, perhaps it would be a show of good faith for the Alliance to offer to take on the hotel room risk if our late start does not yield us a hotel sponsor).  We also agreed last year to start earlier this year as we had wanted to take advantage of selling tickets and merchandise as potential Christmas gifts. That will not happen this year.

But I have not done anything to warrant threat of removal from this project. If it would make you more comfortable, we can sever the games and the McGlynn Middle School will take over for the Thursday game with the commitment to still share ticket and souvenir sales and cross promote as initially agreed.

I am well aware that we agreed to promote the games together as I was the only member who INSISTED upon it. The representatives from the Alliance told us that they only planned to promote our game  AFTER theirs sold out. I pointed out that over 30% of our tickets were sold at the door and it does little good to tell people arriving at a sold out game that they could attend the game that took place YESTERDAY. We have and continue to be committed to cross promotion.

My Facebook event includes that there is a game on Friday. We are happy to cross promote, but a save the date is the minimum promotion that we can do and it is important to start trying to reach our families, it can be much more difficult at the middle school level. We are happy to include you in all posts when you are ready to launch, but we can not wait until you are finished with your other fundraisers and have time for us. We have money at risk here too, money that will hurt us far more if it is ultimately lost. This is an issue of equity and fairness. I would expect you all to understand that.

I also challenged the idea of limiting who could play in our Thursday game (so I did not agree to that). I further stated that since the middle schools are running their own game that we should have some autonomy in running it. We need access to the ticketing system so we can monitor sales and so that we can run our own raffles with the prize packs we will receive from the Wizards.

It makes me very uncomfortable that you seem to feel that you are in complete control of all of our actions. I move to sever the contracts for the two games. We will still cross promote, but there will be no power to threaten expulsion of schools.

We are and have been committed to this project from the moment that I presented it as a great opportunity for elementary and middle schools alike more than a year ago.

I hope that this hostility is at an end and we can get to the actual work of this game.

Thanks,
Cheryl Rodriguez

Lynda, Leanne, Liz, Emma, Melissa, and Jenny:

Given that our collaboration is new, it is critically important that we are all on the same page. As such, I’ve copied all the parties who agreed to the 7 simple rules below.  We developed these rules so that as a community we can avoid the kind of issues that often happen among volunteers.  I think we can agree that our entire city benefits when we work together. And after all, the goal here is community engagement and fundraising for our schools which are so badly underfunded.

Rule 7 clearly states that we will collaborate on promotion. In order to do that we need to meet first.  Meanwhile, I’m reiterating my ask that the McGlynn Middle School leadership team to remove all posts relating to the Wizards game by the end of the day today.  This will allow us to get off on the RIGHT foot and avoid confusion. We are already seeing this confusion from parents via questions and comments.  No event will be successful if the promotion is unclear.

We will develop a promotional strategy as a group and post then.

On behalf of your school, please confirm the following by email by 5pm tomorrow:

1: your agreement that you will not promote the event until we meet in person;. and
2: your continued commitment to following all the rules outlined in my earlier email of yesterday.

Additionally, please complete the attached doodle poll by then so we can find a time to meet before the holidays.

Non-compliance with the rules by tonight, or not confirming by 5pm tomorrow, will be understood as a withdrawal from the collaboration by the respective school(s)

Looking forward to kicking off a successful event when we meet!

Thanks
Bailey

Hello,

This is inappropriate, please refrain from sending anymore group emails like this.  I am happy to discuss your issue privately.  Please do not treat me or anyone else this way.

I have added my husband to this thread as you seem to think he has done something to you as well.

Happy Holidays!  Please let us know when the meeting is.

Thanks,

Hi Everyone,

Thanks for getting back to me.

Cheryl- I really do appreciate your enthusiasm for this project. You bring up a lot of great questions which we will address at our next meeting. Once the date has been confirmed I will provide an agenda as well as a list of action items for delegation during the meeting.

Regardless of who or why it was posted the concerns about the facebook event still stand. We have agreed to work together to promote this event and the facebook post is premature for many reasons. Just as an example, our hopes were to use the Thursday Wizards game as bridging event for the 5th grade which the current facebook post does not take into account. There are other messaging considerations that we will need to work on to communicate the expansion of the this fundraiser into two nights and make clear how they each benefits our schools. It's best that the post be removed till we can get together and plan a promotion strategy to benefit us all. I trust that you can be in touch with whoever controls the facebook page and have it removed by the end of the day. I would also encourage you to ask your husband to remove his repost from this morning, which I will choose not to understand as a passive aggressive response to my email about this topic. Moving forward I'm sure we can all stick to the terms that we all agreed to in collaborating on this project.

I would love to make something work for this month but it's really tight. How does December 16th look for everyone? I'm pretty wide open that day.

Thanks,
Bailey

Hi Everyone,

With just a few months out before the game we should really get a meeting on the books to do some planning.

I just want to remind everyone of the terms we agreed to in collaborating on these events:
  1. The McGlynn PTG will hold the contracts, manage event finances, and provide leadership for event coordination.
  2. The Middle Schools will participate. We will have two games.
  3. All six participating schools will split the deposit and the profits from ticket sales.
  4. The March 12th game players will be from the middle school and the 5th grade teachers.
  5. The Middle Schools will be responsible for concessions and volunteers for the March 12th game. The profits concessions and souvenirs from the March 12th game will be split between the Middle Schools.
  6. The Elementary Alliance will be responsible for concessions and volunteers for the March 13th game. The profits from the concessions and souvenirs from the March 12th game will be split between the Elementary Alliance.
  7. All six schools will work together to promote both games and secure sponsors.
I noticed on FB today there was an event made for the Middle School game. We all agreed that we would work together to promote the games so I'm uncertain how this came about. Let's work together moving forward so that we can have consistent messaging and timing. I think it would be appropriate to remove that event until we were all on the page.

Do you all think we can get a meeting in December or do you think we should aim for very early January?

Looking forward to working with everyone!
Bailey
